Migrate to Microsoft Business Voice

Untitled design (1)

You're already using the Office Suite...does it really make that big of a difference if you buy your phone service through Microsoft too?

Yep.

You've streamlined your tech stack and are using the Office Suite for all of your needs. From word processing to email and more, your business needs are covered. You're even using Teams which has cut way back on emails 👏

Things are good. Could they be better?

Yep.

Here's the deal: What if we told you that you could not only message, set up group conversations, link to your Planner, and share files (+ more) in Teams but that you could also make calls, all without ever leaving the app? Not only calls, video calls, conferences with clients, and even large-scale events. What if we also told you all of this comes on a month-to-month payment schedule (at half the cost of competitors like Ringcentral who aren't integrated with Teams). No years-long contracts, no bulk payments. Sounds too good to be true, right?

For a long time, phone companies dominated the market with contracts that required you to sign in blood 💉 OK, maybe not blood but they did require contracts that were years long. Years! After this last year we've had, we all know that agility in business is essential. Your relationship with your phone carrier should be the same. With Business Voice, it is.

Learn more below by listening to interviews with our customers as to why they ditched their phone companies (some after a decade-plus of doing business) and switched over to Business Voice. Frequently Asked Questions

Pre-Migration

  • Can I keep my phone numbers?

Yep! If you wish to keep the phone number from your previous carrier, you can do so by submitting a porting order to have your numbers transferred to your Office 365 tenant (or we can do it for you!)
  • What information will I need to gather?

Before you begin, make sure you have a Global Administrator role, so you will be able to complete the necessary tasks through the Teams Admin console. This BEMO blog provides the high-level steps required to deploy a phone system if you choose to do it on your own. While every deployment is unique, this blog post should provide you with an overview of a successful process. Prefer we do it for you? We will simply need access.
  • How much does it cost?

Use the calculator above for personalized pricing.

Microsoft 365 Business Voice is priced at $20 USD per user, per month. The price includes all telecom taxes and regulatory fees. If you were to purchase the 3 licenses separately, it would cost you $24. So you are saving $4 with the Business Voice bundle.
  • What license do I need to purchase Business Voice?

Microsoft 365 Business Voice is an add-on, designed to be bundled with most Office 365 subscriptions including the following:
    1. Microsoft 365 Business Basic
    2. Microsoft 365 Business Standard
    3. Microsoft 365 Business Premium
    4. Microsoft 365 F1
    5. Microsoft 365 F3
    6. Office 365 F3
    7. Microsoft and Office 365 Enterprise E1 or E3
  • What does Business Voice include?

Microsoft 365 Business Voice bundles the 3 licenses needed to enable voice and conferencing services. If you have deployed a telephony system with Office 365 Enterprise before, you might already be familiar with these 3 licenses which are as follows:
    1. A Phone System license, also known as cloud PBX (Private Branch Exchange), at its core, handles call routing and processing via auto attendants, call queues, and voicemail.
    2. A Domestic Calling Plan, allowing you to make and receive PSTN calls to any number. Includes 3,000 minutes per user/month within the US & Canada
    3. A dial-in Audio Conferencing Plan enables external callers to join a conference call by dialing in via a phone number and punching in an access code.
  • Should I do this myself?

It’s up to you! While the process isn’t incredibly complex it is a bit tedious. Porting numbers can easily take up to 4 hours per order and first-timer are likely to miss something and have to start over. Plus, gathering all the necessary information/dealing with losing carriers can be trying. We’ve done it many times and are happy to do it for you!
  • What is Business Voice?

    1. Microsoft 365 Business Voice is a 100% cloud-based (curious about the cloud? Check out this super simple, informative read) phone system built for small and medium-sized businesses. It enables users to make, receive, and transfer calls to and from computers, landlines and mobile phones on the public switched telephone network (PSTN) in Microsoft Teams.
    2. Microsoft 365 Business Voice was launched in 2019. It is 100% cloud-based and built on the exact same infrastructure and services Enterprise customers were enjoying years ago. There are no compromises on the features and quality. It is truly an Enterprise-grade system offered at a lower price point than most traditional Voice-over-IP solutions. Plus, Microsoft Business Voice can be deployed rapidly, is easy to maintain, and will continue to improve through constant enhancement efforts made by Microsoft.

Migration

  • What is the migration process like?

After meeting with BEMO to assess your infrastructure and needs, we will create a cohesive plan to move you to Business Voice. You and your team will be provided with pre, during, and post-migration information. Our team will be in contact during the entire process as well as afterward to answer any questions or troubleshoot.
  • How long does it take?

    1. If you choose to complete the process on your own, you will typically be able to complete steps 1 to 6 (see this BEMO blog for instructions) within 1 or 2 hours. For the rest, assume 1 to 2 hours per auto-attendant or call queue and 4 hours per porting order.
    2. If you choose to have us do it for you here is a simple outline:
      1. Basic setup without phone number porting: 7 to 10 days
      2. Phone number porting order: up to 30 days after porting order approved by the current carrier.
      3. Entire project with porting: 45 to 90 days
  • Will I experience downtime?

In order to avoid downtime, you can create temporary numbers that will route directly to Teams while the transition is occurring. We use our expertise to prevent downtime and make the process as smooth and expedient as possible.
  • Can we keep working during the migration?

Yes, you can continue business as usual as long as steps have been taken to create temporary numbers.

  • What will you need from me/what information will I need to do this?

    1. Billing Telephone Number (BTN): This is typically the main phone number associated with your account
    2. Customer Company Name: Your company may have changed its name over time. Make sure the information provided matches the phone company records.
    3. Service Address: Is the address where the phone service is delivered, it is not necessarily the billing address. Best to look up your account online or contact your current phone service provider
    4. Personal Identification Number (PIN): If your losing carrier issued a PIN for your phone service, then Microsoft PTN will need it to authenticate your porting request
    5. Account Number associated with your current phone service
    6. Current Service Provider Name: Most of the time, it is the name of the company you are getting your phone service from. However, in some cases, it is possible that your organization of the service provider might have purchased these phone numbers (DID) from somewhere else. If you are not sure, contact us and we will help you sort that out.
    7. Company Internet Domain Name: this is your vanity domain associated with your Office 365 tenant. Likely [MyCompanyName].com, on the *.onmicrosoft.com. This is so that they know where to port your number
    8. The explicit list of all the phone numbers you want to port
    9. The type of phone number: user, service, or toll-free
    10. Indicate if it is a full or partial porting. Are you porting all your numbers or just a few of them?
